Who can attend the Conference and Trade Show?

The TSD Conference each year welcomes hundreds of professionals nationwide who take advantage of specialized, in-depth curriculum on the policy, practice and operations of transporting students with disabilities and special needs.

What does Main Conference Attendee registration include?

As a TSD main conference attendee, you will have access to ALL TSD and STN EXPO Indy breakout sessions, joint general sessions and keynote sessions with STN EXPO Indy, the Victory Lane Networking Reception on Sunday evening, October 11, and the trade show on Monday, October 12.

You may sign up for additional courses such as the NHTSA Child Passenger Safety Course or the National School Bus Inspection Training Program on Friday, October 9 for $199 (Early bird rate of $149), or apply for our Transportation Director Summit on October 8-9 (for qualified decision makers), or any of the Unique Experiences available (pre-registration required).

TSD attendees may also attend the Roadeo Competition on Saturday, October 10, as spectators. Transportation will be provided. If you would like to sign up to compete at the Roadeo Competition, please visit the Roadeo page under the TSD Conference menu bar for more details.

What does Guest registration include?

Guest registration includes access to all networking events, the STN EXPO Indy Victory Lane Networking Reception on Sunday, October 11, as well as the STN EXPO Trade Show on Monday, October 12.

How do I register for the conference?

If you are registering for the 2020 TSD Conference in Indy as a transfer from the TSD Conference originally set to be held on March 20-25, in Frisco, TX, you will receive separate instructions on how to re-register for the TSD Conference. If you did not receive these instructions, please contact the Event Coordinator at samantha@stnmedia.com

If you are a new attendee, you can register as an STN EXPO Indy Main Conference attendee by visiting our conference website at www.stnonline.com/expo/east. Under the “Attendee” tab, click on “Pricing and Registration” for more details on registration type and conference access. Then, click on “Attendee Registration.” This will take you to the conference registration page, powered by Cvent. All STN EXPO Indy attendees can attend TSD Conference courses, and vice versa. You do not need to be destinated as a TSD Conference attendee to attend this conference. 

How do I know if I am registered?

Once you have completed the registration on the new TSD registration link, you will receive an email stating that your registration is now in the pending approval stage.

The STN Events Team will then verify your registration and credit transfers from TSD Frisco to TSD Indy. Once your account has been verified, you will receive a registration confirmation from Cvent.  Your registration is not completed until you receive your confirmation email and confirmation number. The Event Staff will transfer your credits post confirmation, and will send you instructions on how to pay your remaining balance, if any. 

If you do not receive an email once you finalize your registration, please contact the event coordinator at samantha@stnmedia.com.

*As Cvent is a third-party registration system, we find that some email servers will recognize emails from Cvent as spam/junk mail, or will block the sender all together. Many school district firewalls may block this email confirmation from entering into your inbox. If you do not receive your confirmation email, please also check your spam or junk folder before contacting the Events Team.

How can I register for the NHTSA Child Passenger Safety Course?

If you previously registered for this course ONLY (meaning, you are NOT attending the conference and trade show) for the TSD Conference in Frisco, please contact the Events Team at events@stnmedia.com to confirm your credit for transfer. Once credit has been established, you may register for the NHTSA course on the STN EXPO Indy Registration page by selecting the registration type called “NHTSA Child Passenger Safety Course.”. The Events Team will provide further instructions on completing your registration.

If you are interested in registering for this course AND the conference and trade show, and you had previously registered for the TSD Conference in Frisco, please refer to the registration link in the email sent to you and register for the TSD Conference as a Main Conference Attendee. Then, during your initial registration process, after you have completed the Registration Information page, the Item Selection page will appear. Under Optional Session Registration, please check the box next to NHTSA Child Passenger Safety Course, and then click on Next. The registration fee for the course will reflect on the Payment page. Please make sure that the name of the course appears on the payment page under ORDERS > Sessions before finalizing your registration. Once you have completed the registration, you will receive an email stating that your registration is now in the pending approval stage.

How can I register for the National School Bus Inspection Training Program?

Since this course was not offered at the TSD Conference in Frisco, attendees who had previously registered for TSD may either use available credits towards this class, or register for this class as a new attendee and pay for the course separately. Please contact the Events Team at events@stnmedia.com to confirm your credit for transfer. Once credit has been established, you may register for the Nation course on the STN EXPO Indy Registration page by selecting the registration type called National School Bus Inspection Training Program.” The Events Team will provide further instructions on completing your registration.

If you are interested in registering for this course AND the conference and trade show, and you had previously registered for the TSD Conference in Frisco, please refer to the registration link in the email sent to you and register for the TSD Conference as a Main Conference Attendee. How do I submit my application for the Transportation Directors Summit?

During your initial registration process, after you have completed the Registration Information page, the Item Selection page will appear. Under Optional Session Registration, please check the box next to Transportation Director Summit Application, and then click on Next. You will then be prompted to answer a few questions in order to qualify for acceptance to the Summit. Once completed, click on Next to finish the registration process. Please make sure that the application appears on the payment page under ORDERS > Session before finalizing your registration.

If you are already registered as a main conference attendee and decide later that you would like to apply to attend the Transportation Director Summit, please contact the event coordinator with your request at amy@stnmedia.com.

How am I accepted to attend the Transportation Directors Summit?

In order to qualify, you must be registered as a Main Conference Attendee, check the box next to the Transportation Director Summit application and answer qualifying questions during the registration process. Please note that this summit is designed exclusively for qualified transportation directors. Applicants in other positions may not qualify for this event. If you initially qualify, a representative from our team will reach out to you to complete the application process.

*Please note that attendees MUST check in and attend the Transportation Director Summit on Thursday, October 8, in order to attend the summit off site on Friday, October 9.

I registered for the TSD Conference in Frisco for March 2020. Can I transfer my paid registration fees to the TSD Conference in October?

Yes, registrants who paid for the TSD Conference in March may transfer credits to attend the TSD Conference reschedule to October 2020. No refunds of any kind will be issued. The following transfer policies will be applied:

The following applies to those who are re-registering for the 2020 TSD Conference in Indy using credit transfers from TSD 2020 in Frisco ONLY.

  • Credit transfers are only valid for the registrant of the original registration. Credits may not be transferred to another registrant’s name. All credits are non-transferable from person to person.
  • If the registration fees for the new event is less than the transfer credit amount, the remaining credit may be applied for an additional future show within the 12-month period of the original event or may be applied to a training course that require additional registration fees (additional registration required).
  • If registrant selects additional courses that require additional registration fees that is not covered by the amount of credit transferred, registrant is financially responsible for the additional fees.
  • If the registration fees for the event is higher than the transfer credit amount, registrant will not be responsible for the cost difference due to this unusual circumstance. 
  • Unused registrations have no monetary value and cannot be credited to future events. If you are a “no-show,” the credits will be forfeited.
  • Substitutions are not valid for any registrants who used credit transfers.
  • Credit transfers to the TSD Conference in Indy are NOT automatic. Registrant must register for the new TSD Conference using link provided. Once registration is submitted for approval, the events team will verify each registration and credits prior to sending a confirmation for approved registrations.
  • If you did not receive the new link to re-register for TSD Indy, please contact the Events Team.
  • A registration is not complete until registrant receives a confirmation email and confirmation number from Cvent. Credits will be transferred post registration approval.
  • All registrations and credit transfer must be approved. Questions and concerns can be directed to events@stnmedia.com.
  • In the event that STN postpone or cancels a hosted conference for any reason, refunds will not be issued. Registrants may request to transfer paid registration fees with STN Media Group/School Transportation News as payment towards a future STN hosted conference.

STN Media Group reserves the right to refuse any refunds, cancellation, or transfer requests.

What if I can't attend the TSD Conference in October?

The following applies to those who were registered and paid for 2020 TSD Conference in Frisco but cannot attend the rescheduled TSD Conference in Indy on October 8-13:

While the TSD conference is postponed, it is not cancelled. Therefore, refunds will not be issued. If you cannot attend the reschedule TSD Conference in October, registrants may request to transfer paid registration fees with STN Media Group/School Transportation News as payment towards a future STN hosted conference. The following will be applied:

  •  Future conference must take place within the 12 months following the originally booked event. If credit is not claimed by the 12th month, the credit expires. The registrant henceforth forfeits the payment and will not be able to transfer the credit to any future events.
  • Events where credits may be transferred to are as follows:
    • STN EXPO Reno Conference on July 10-15, 2020, in Reno, Nevada
    • TSD Conference on March 19-24, 2021, in Frisco, Texas
  • Requests to apply payment to a future conference must be received no less than 30 days prior to the conference opening date. Request must be sent in writing to events@stnmedia.com.
  • All credit transfer requests must be emailed to and approved by the event teams at events@stnmedia.com.
  • Registrant must register for future show once request to apply has been approved and registration is open in order for credits to transfer. Please email events@stnmedia.com once completed.
  • In the event that STN postpone or cancels a hosted conference for any reason, refunds will not be issued. Registrants may request to transfer paid registration fees with STN Media Group/School Transportation News as payment towards a future STN hosted conference.

 

STN Media Group reserves the right to refuse any refunds, cancellation, or transfer requests.

I need to cancel my registration. How do I do that?

The following applies ONLY to those who re-register for the 2020 TSD Conference in Indy using credit transfers but need to cancel their registration:

  • If registrant cancels the current registration by 11:59 p.m. Pacific on July 3, 2020 due to Covid-19 related issues (government mandates, district travel bans, etc), registrant may transfer their full TSD credit to the 2021 TSD Conference. However, registrant will be responsible for the $4.50 registration service fee for this cancellation and will be charged the registration service fee for the 2021 TSD conference when re-registering. If credits are not used by the 2021 TSD Conference, it will be forfeited.
  • If registrant cancels the current registration by 11:59 p.m. Pacific on September 4, 2020 due to Covid-19 related issues (government mandates, district travel bans, etc), registrant may transfer 50% of their TSD credit to the 2021 TSD Conference. However, registrant will be responsible for the $4.50 registration service fee for this cancellation and will be charged the registration service fee for the 2021 TSD conference when re-registering. If credits are not used by the 2021 TSD Conference, it will be forfeited.
  • Cancellation requests will NOT be accepted after midnight Pacific on September 5, 2020. No refunds or credits of any kind will be issued. Any pending balance must be paid in full.
  • STN will not issue any credits past the cancellation period. Unless requests for cancellations are made prior to September 5, 2020, payments made to STN are not refundable for any reason, including, without limitation: failure to attend due to illness, acts of God, travel-related problems, acts of terrorism, loss of employment and/or duplicate purchases.
  • In the event that STN postpone or cancels a hosted conference for any reason, refunds will not be issued. Registrants may request to transfer paid registration fees with STN Media Group/School Transportation News as payment towards a future STN hosted conference.

STN Media Group reserves the right to refuse any refunds, cancellation, or transfer requests.

I am re-registered, but unable to attend the conference. Can my colleague replace me?

Unfortunately, if you used credit transfer to register for the new event, substitutions are not allowed. Credit transfers are only valid for the registrant of the original registration. Credits may not be transferred to another registrant’s name. All credits are non-transferable from person to person.

What types of payments are accepted?

All major credit cards are accepted (Visa, Mastercard, and American Express). You can also pay by check or purchase order checks. You can select “P.O. Check” as your payment method even if you do not have the P.O. number at the time you register.

How do I pay my balance?

To submit payment via Credit Card:

  1. Visit our STN EXPO Indy Website at https://stnexpo.com/east/
  2. Click on the “Attendee Registration” botton on the home page. This will open a new page to Cvent.
  3. Click on “Already Registered?” on the registration page
  4. Input your email address and your confirmation number (sent to your email after you submitted your registration), click OK.
  5. You are now in your registration portal. Here you can print invoice, submit payment, add members to your group, and review your registration details.
  6. Click on Submit Payment and you’ll be able to pay the balance with your credit card.

Can I register on site?

Yes. Please come to the registration desk to register on site. Please note that payment is due upon arrival. If paying with a P.O. on site, you will have up to 30 days after the conference to submit your balance.

Can I register for the NHTSA Course or the National School Bus Inspection Training Program on site?

Yes, however, both courses has limited seating. We recommend for our attendees to register for the course ahead of time, as materials must be purchased before the conference. If additional seating is available upon your registration on site, you may add the desired course to your agenda. Please note that seats are not guaranteed on site and that payment is due upon arrival.

Are meals included?

Food and drinks are provided only during specific events at the STN EXPO + TSD Conference. Refreshments will be provided for registrants who qualify and will attend the Transportation Directors Summit on October 8, as well as breakfast and lunch on October 9. Dinner will be served at the STN EXPO Indy Victory Lane Networking Reception on Sunday evening, October 11. Breakfast will be provided on Monday, October 12, on the Trade Show Floor.

On days with breakout sessions, attendees are encouraged to have lunch on their own at any of the restaurants at the JW Marriott Hotel or explore all that Downtown Indy has to offer. To see a list of the restaurants, please visit the JW Marriott Dining Guide or the Visit Indy Dining Guide.

Do I get a certificate of attendance?

If you register before the online registration ends, you will receive a Certificate of Participation for the 2020 STN EXPO + TSD Conference along with your welcome packet upon checking in at the registration desk. However, if you register after online registration ends or on-site, a certificate will be emailed to you after the conference concludes.

When will the workshop schedule be published?

The workshop schedule will be announced around two months before the conference begins. Notifications will be sent via email. Be sure to frequently visit our website for the latest updates, and follow us on Facebook, Instagram, and Twitter.

Do I have to sign up for workshop classes?

While each workshop session is specified by track, we have designed the curriculum so that you are free to attend any of the breakout sessions, on any given day. This means that you are welcome to attend all General Sessions and Keynote Sessions, any workshops on any tracks (on both STN EXPO Indy side and the TSD Conference side, on any day of the conference week, as long as you are registered as a Main Conference Attendee.

While regular breakout sessions are open to all main conference attendees, the following Optional Sessions must be pre-registered for: 

  • NHTSA Child Passenger Safety Restraint Course (Additional registration fee required)
  • National School Bus Inspection Training Program (Additional registration fee required)
  •  Transportation Director Summit 
  •  Allison Transmission Hands-on Training
  •  Q’STRAINT Wheelchair Securement Training
  • Cummins Service Training School
  •  Live School Bus Crash Demo at CAPE

*Please note that Trade Show Only Registrants and Guests are only allowed to specific events. They will not have access to any of the workshops and classes.

Which track should I add to my schedule?

As a Main Conference Attendee, you are free to choose any track you will find most suitable to your interest and needs. You are not required to attend only one track, and you are free to attend any classes on the schedule.

When does registration open on site?

Attendee and exhibitor registration hours and locations are currently TBD. Please check back for more details soon.

What hotel should I stay in? Can you help me arrange that?

For your convenience, we have reserved a room block at the JW Marriott Hotel. Room nights are limited, so we recommend making your reservations as soon as possible. We do not reserve room per attendee, however, you can reserve your own room: book a room through the STN EXPO Indy website by clicking on the Hotel & Travel tab at the top of the home page, and then clicking on the “Book a Room” purple button on the Travel webpage. 

Can I bring my friend/spouse to the Conference and Trade Show?

You may bring a friend or a spouse to the TSD Conference/STN EXPO, however, they must be registered as a Guest. Guests can only be registered on-site. Please see registration staff for more details. Questions and concerns? Please email our event coordinator at samantha@stnmedia.com.

While your family is welcome to experience Indy and the JW Marriott at your own leisure, please note that this is a professional conference and therefore we ask that you do not invite children to attend any general sessions, workshops or social events with you. We also ask that you do not invite children to attend the STN EXPO Victory Lane Networking Reception or the STN EXPO Trade Show, due to liability and safety issues since alcohol is served during the events and many heavy equipment are on display from various exhibit booths. We appreciate your cooperation and thank you for your understanding.

What do you recommend for spouses to do while the conference is going on?

Do I need to rent a car? How far is the airport from the conference?

The JW Marriott is a roughly 20- to 30-minute drive from the Indianapolis International Airport. While the hotel does not provide complimentary airport shuttles, there are many ways to get to the hotel and convention center. 

Go Green Airport Shuttle 

The most economical transportation option from the airport to downtown is the Go Green Airport Shuttle service. Express service runs from the airport to downtown every 30 minutes from 5 a.m. to 11 p.m. daily. The fee is $13 one-way. Passengers will aboard the shuttle at Zone 7 at the airport’s Ground Transportation Center. Credit card payments only — cash payments are NOT accepted. Reserve online for guaranteed seating.

Driving to the conference?

While the JW Marriott Hotel does offer daily and overnight parking, we have secured a partnership with Gate Ten Event Parking for discounted parking for our attendees. More details to come. Other Transportation Options:

AmtrakGreyhound, and Megabus all have hubs in the downtown area. You are more than welcome to choose other options, such as car rental or rideshare services such as Uber, Lyft or Taxi. As a Main Conference Attendee, your registration includes a FREE subscription to School Transportation News. During the registration process, please specify which format you would like to receive.
